User Guide - DSO Onboarding

Audience & Purpose

This tutorial is for DSO owners, managers, and newly invited Super Admins onboarding to Smile Genius. You'll learn how to accept your invitation, set up your user and DSO profile, and access your admin dashboard for the first time.

Onboarding Overview

Flow: Invitation email → Account creation → Profile completion (User + DSO) → Dashboard zero state → Success.

Note: Only invited users can onboard. Self-registration is not available for DSOs.

Prerequisites

  • Receive your Smile Genius invitation email at your DSO’s primary email address.

  • Use a supported, up-to-date web browser with internet access.

  • Have the authority to accept the platform’s Terms & Conditions on your DSO’s behalf.

Step-by-Step Onboarding

Step 1: Accept the Invitation

Open your Smile Genius invitation email. If it's missing, check your Spam/Junk folder or ensure your IT team allows emails from @smilegeniusdental. Select Get Started to launch the registration page.

Step 2: Create Your Account

The registration page displays your email address (pre-filled and locked). Enter your password, confirm it, and agree to the Terms & Conditions. Click Submit.

  • Password Requirements:

    • At least 8 characters

    • At least one uppercase letter and a lowercase letter

    • At least one number

    • At least one special character (e.g., @ # $ % ^ & *)

Tip: Use a strong, unique passphrase and store it in your password manager.

Step 3: Confirm and Continue

Click Let's go. Save your login credentials securely if prompted by your browser.

Step 4: Complete Profile – User Information

Fill in all required User Profile fields:

  • First Name (required)

  • Last Name (optional)

  • Designation (optional; examples: Owner, Manager)

  • Role: Predefined as Super Admin (non-editable at this stage)

If your department isn’t listed, select Other and enter it manually. Optionally enter your Employee ID.

Step 5: Complete Profile – DSO Details

Enter or confirm information about your DSO:

  • DSO Name (required, prefilled; editable)

  • Website (optional)

  • Phone Number (optional)

  • Address (required, prefilled; editable)

Step 6: Add General Ledger Codes

Add at least the mandatory general ledger codes. This step is required for accurate invoicing and platform configuration.

Step 7: Incomplete Onboarding Handling

If you exit before finishing:

  • Returning via your portal or invite link will automatically continue from where you left off (until the invite expires).

Step 8: Get Help Anytime

Click Help on any step to access scheduling, live chat, or detailed documentation support.

Step 9: Finalize Profile Setup

When all required fields are entered, click Next to continue through the remaining setup steps.

Step 10: Dashboard Zero State

When onboarding is complete, you'll see the Dashboard in its zero state: no active cases, clinics, or users yet. Use the "Getting Started" checklist to add clinics and invite colleagues.

Tip: Mark checklist tasks as done to remove them from future sessions.

Success: Your DSO is now registered and ready for team onboarding and collaboration.

Troubleshooting & FAQs

  • Didn't get the invitation? Check Spam/Junk. Ensure your IT team allows @smilegeniusdental emails. Ask your Smile Genius Admin to resend the invite.

  • The invitation link has expired or is invalid. Links may expire or be single-use. Request a new invite.

  • Password not accepted. Ensure it meets all criteria, no leading/trailing spaces, and try a different browser if issues persist.

  • Editing DSO name/address? These fields are editable during onboarding and later in Profile Settings.

  • Who is the Super Admin? The first user from the invitation is a Super Admin. Their email cannot be removed, but their name and other details may be updated. Additional admins can be invited later as your DSO requires.

Data Protection & Compliance

Smile Genius uses your DSO email for onboarding, case management, and invoicing. Only invite authorized staff and assign appropriate permissions. All data is encrypted and managed in compliance with industry regulations.
